Executive Director of Administration & Operations

Reports to: Senior Pastor

Supervises: Administrative Staff

Status: Full-Time

FLSA Status: Exempt

Position Overview

The Executive Director of Administration & Operations provides strategic leadership and oversight for the church’s administrative systems, human resources functions, financial processes, and organizational operations.

This role ensures that the church’s infrastructure effectively supports and advances its mission and ministry impact. The Executive Director develops strong systems, strengthens policies, oversees administrative teams, and ensures faithful stewardship of resources — enabling pastors and ministry leaders to focus on shepherding and discipleship.

This is a senior leadership role focused on organizational health, operational excellence, and long-term sustainability.

Core Responsibilites

Organizational & Strategic Leadership

  • Translate vision into operational strategy and systems

  • Develop, implement, and improve church-wide policies, workflows, and procedures

  • Identify opportunities to strengthen efficiency, clarity, and organizational health

  • Lead implementation of strategic initiatives in operational areas

  • Ensure operational decisions align with mission, values, and long-term sustainability

Human Resources Leadership

  • Oversee recruitment, onboarding, and staff transitions

  • Ensure compliance with employment laws and HR best practices

  • Develop and maintain employee handbook and HR policies

  • Guide performance evaluation and staff development processes

  • Provide counsel to ministry leaders on staffing and employee relations matters

  • Oversee benefits administration and personnel records

  • Maintain confidential personnel documentation

Financial Operations Oversight (In partnership with Treasurer, Finance Team, or outsourced CPA)

  • Oversee payroll processes and accounts payable/receivable systems

  • Assist in annual budgeting and financial forecasting

  • Monitor departmental spending and financial reporting

  • Ensure strong internal controls and financial integrity

  • Coordinate audit or annual financial review

  • Provide financial reporting to leadership and board

  • Ensure compliance with nonprofit financial regulations

Administrative Team Leadership & Church Environment Standards

  • Supervise and develop administrative staff

  • Establish service standards, workflows, and operational systems

  • Conduct regular team meetings and performance evaluations

  • Foster a culture of excellence, responsiveness, and teamwork

  • Strengthen internal communication systems across departments

  • Partner with the Facilities Director to ensure spaces are prepared, maintained, and aligned to support ministry activities and events

  • Ensure church environments reflect a high standard of hospitality, cleanliness, safety, and aesthetic excellence

  • Champion a welcoming atmosphere that supports worship, ministry effectiveness, and first-time guest experience

Governance & Compliance

  • Support board/elder governance processes

  • Maintain corporate records, policies, and documentation

  • Ensure nonprofit compliance and reporting requirements

  • Strengthen risk management practices

Qualifications

Spiritual Qualifications

  • Mature Christian faith aligned with the church’s doctrine

  • Demonstrated servant leadership

  • Commitment to unity and health of the church

Professional Qualifications

  • 5+ years of operations, nonprofit leadership, HR, or business management

  • experience

  • Experience supervising teams and developing staff

  • Strong financial literacy and budgeting experience

  • Working knowledge of HR law and best practices

  • High organizational and strategic capacity

  • Excellent communication and leadership skills

Preferred:

  • Experience in a church or nonprofit environment

  • Bachelor’s degree in Business, HR, Finance, or related field
